Recording your Invoices
There’s no point having your invoices in a big pile on our desk! We need to record this information and start some number crunching.
Our bookkeeping department collates all your invoices and expenses that you have incurred in your company. This is entered onto our system and a report is created with a full breakdown of what things you have spent on and been charged VAT on. (This is called VAT Input)
Seeing what you’ve sold
The next part is finding out what sales you’ve done in the quarter. Sometimes its as simple as a call or an email, other times you may need to see us. Most of our clients will send us their sales in the parcel we receive making the job a little easier.
The invoices you have issued is known as VAT Output.
Creating the VAT report
Once we have entered all your income and expenditure into our system we get a really useful breakdown of what’s happened in the business.
This report is critical for your business. It shows a quarter by quarter breakdown of what you have been spending on, and whether expenditure has gone up or down since last quarter. Think of it as a quick snapshot of your business, and its something you need to keep an eye on.
Crunching the numbers
Once we know whats going on in the business and what the numbers show, we have to do some calculations on the figures we have according to a particular VAT Scheme that the government has set.
This depends on what kind of business you are (restaurants and takeaways are different to Post Offices for example) and what kind of products you sell.
Our calculations will give us a final figure of what you owe to HMRC.
Submitting to HMRC
HMRC has an online portal to register for VAT. We did a handy post on registering for VAT that if you want to check it out. (If you are an IR35 Contractor the government is still figuring things out….)
In simple terms, the difference between VAT Output and VAT Input is the VAT we submit to HMRC every quarter.
Registering you for VAT
When your turnover has exceeded £82,000 a year you must register for VAT. If you want to know WHEN to register, just read our post on when to register.
Sometimes its not always clear whether to register or not, and sometimes businesses remain unregistered illegally when they shouldn’t be. This is a clear breach of law and if you get caught you could be imprisoned and face a hefty jail fine
De-registering you for VAT
When your business falls below the threshold, we will de-register you for VAT using the same HMRC portal. Generally, businesses that are declining in sales may have to take more drastic action such as closing the company down entirely but this is entirely dependent on your circumstances.
Change of ownership
If your business has changed hands or you are acquiring a business we will look at all the possible VAT and tax implications that could affect your purchase and the person buying the business.
